Job Summary
The Project Manager Assistant is responsible for providing administrative support to the project management team and the Operations Manager. The position is responsible for a wide variety of internal and external correspondence with vendors, suppliers and internal personnel. File preparation and maintenance including estimate generation is a key element. The position works directly with the Operations Manager to ensure a consistent level of customer service is achieved for each stakeholder. The position has a significant amount of autonomy and requires a detail-oriented, forward-thinking individual.
Job Responsibilities
General Duties:
- Establish and build relationships with key clients.
- Open all new files and maintain input of all required information into Job Management software
- Prepare a variety of correspondence, e-mail, telephone, etc. to key stakeholders as directed by the Project Manager.
- Perform support functions to VP, Operations as required – this includes completing a wide variety of projects in an independent fashion.
- Perform weekly Work in Progress (WIP) meetings with all project managers and complete all related tasks as required.
- Follow up with all incoming correspondence as directed by the Project Manager.
- Proactively correspond with all stakeholders on insurance claims based on established workflow protocols.
- Collect, review and process daily paperwork from crews to ensure accuracy.
- Maintain a tracking system to ensure all crew paperwork is received on a daily basis.
- Open Xactimate estimates on the system and enter relevant customer information.
- Prepare preliminary Xactimate estimates based on crew chief paperwork.
- Ensure samples are obtained for all projects.
- Ensure samples are submitted to ICC.
- Ensure all photographs are collected and uploaded
- Ensure all relevant quotes are arranged and obtained (i.e. flooring, windows, doors, plumbing, electrical, etc.) per direction from Project Manager.
- Obtain purchase orders as needed and forward them to vendors.
- Follow up with all purchase order requests for relevant reporting (i.e. air quality, plumbing, electrical, etc.)
- Provide all backup coverage requirements for front reception (lunch, vacation, sick days, etc.)
Other:
- Monitor and anticipate competitor activities.
- Build the Employer brand within the local community.
- Participate in continuing education requirements, corporate events, and team building activities.
- Maintain all corporate KPI’s.
- Other duties.
Job Requirements
- High School Diploma
- Minimum of 3 years of administrative experience
- Disaster Restoration Industry experience is preferred
- A valid class 5 driver’s license
- Bondable

- Ability to multi-task and manage a large volume of competing priority urgent items at any given time

Role KPIs
- Maintaining accurate job status categories and dates on all files in Job Management Software
- Entering weekly job notes on each active file in Job Management Software
- Ensuring all required elements of each file are present before advancing file status
- Completing weekly stakeholder communication requirements
- Completing Xactanalysis requirements per program guidelines
Compensation
Compensation will be determined based on experience.

Restoration Crew Chief – Calgary
ROLE OVERVIEW:
The Crew Chief is responsible to execute the scope of work as determined by the Project Manager for drying and remediation of a variety of emergency situations including water damage, fire, mold, trauma and others.
REQUIREMENTS:
Candidates will have:
- A minimum of 2 years of experience in the restoration industry
- IICRC – WRT certification (Additional IICRC certifications are desirable)
- Applied knowledge of The IICRC S500 and S520 standards
- A valid Driver’s License
- Bondable
SKILLS:
- Ability to manage multiple projects at one time
- Ability to work as part of a team
- Ability to work independently and / or with little direction
- Ability to lead and motivate others
- Strong verbal and written communication skills.
KPI’s
- Complete paperwork requirements on all jobs including daily submission of activity log
- Comply with all safety requirements including submission of Hazard Assessment for each job and use of proper PPE in all situations
- Answer phone at all times when on-call and return calls when not on call
- Attend sites for active work within ONE HOUR
ROLE RESPONSIBILITIES:
Crew Chief Responsibilities:
- Complete the scope of work as determined by the Project Manager for emergency restoration jobs including: extraction of water, removal of affected flooring materials, removal of various construction materials, cleaning of contents and structural materials, covering and protecting contents and structure, content manipulation, contents packing and moving, etc.
- Perform daily monitoring visits.
- Procure, direct and supervise all crew members required to complete the scope of work.
General
- Maintain IICRC certifications.
- Participate in continuing education requirements, corporate events and team building activities.
- Maintain all required KPI’s.
